In short
For JCDecaux Mexico, we built Paperless, an internal platform that took critical processes off paper. Purchasing, inventory, work orders, advances and refunds now live in one place, behind corporate Single Sign-On, with custom approval flows, dashboards and audit-ready records. The result, after 6 months of work: key processes digitized, with stronger security and transparency, and more than 350 users on the platform.

0, critical processes on paper

01 The context

## Critical processes, still on paper

At JCDecaux Mexico, critical processes still ran on paper. That meant errors, delays and zero traceability, in an environment that demands control. A request could not be followed from submission to approval, and there was no record an audit could rely on. The company needed a secure internal tool, open through corporate accounts, where each process would follow its approval path and leave a trace.

02 Design and build

## One login, one module per process

We built Paperless as a modular internal platform. Employees sign in with their corporate account through Single Sign-On; administrators have their own login. Each process has its module: purchasing, advances, refunds, catalogs and work orders, with inventory in the same platform. A request moves through a custom approval flow, and a dashboard shows what is pending: documents awaiting action and an expense summary in Mexican pesos. Every step is recorded, so the history is ready for an audit.

-
01

### SSO from day one

Employees sign in with their corporate account from the first day, with no extra password to remember; administrators have their own access to the portal.

-
02

### Custom approval flows

Each process follows its own approval path, defined for JCDecaux Mexico, and every approval stays traceable from start to finish.

-
03

### One module per process

Purchasing, advances, refunds, catalogs and work orders each have their own module in the same interface, alongside inventory.

-
04

### Dashboards and audit-ready records

The dashboard shows pending documents and the expense summary, and the records of every process are ready for an audit.

04 Outcomes

## Off paper, on the record

No critical process depends on paper anymore. Purchasing, inventory, work orders, advances and refunds are digitized in one platform, every approval is traceable and records are audit-ready. Security and transparency improve with SSO access and a record of every step. The platform is also a flexible base for the rest of the ops stack; its operational counterpart, the Asset Manager, covers corporate assets.

- Zero critical processes left on paper
- Every approval traceable, every record audit-ready
- Corporate SSO access from day one
- 350+ users on the platform, built in 6 months
